March Parent Association Minutes

 
 

Parent Association Officers

   President:  Mindy Lauderdale                      stmatts2310@gmail.com

 (DO NOT CALL AT RECTORY OFFICE)

      Overview of responsibilities:  This person acts as the go-between for the School Principal, Board of Education and the Parent Association.  They will attend the monthly Board of Education Meetings (3rd Tuesday of the Month at 7pm), and hold Monthly or bi-monthly meetings to update parents on upcoming events.  Coordinates registration in August, and Special Offers (see below).  Will perform other tasks as they arise, per Parent Association Charter.  Will maintain the Parent Association email account, with help from the Vice President or Secretary.

  

   Vice President:  Carrie Helgeson              tchelgeson@mchsi.com  

     Overview of responsibilities:  Will act in place of the president when necessary.  Acts as volunteer coordinator.  Ideally    will become the next Parent Association President.  If delegated by the PA President, will maintain the PA email account.

  

   Treasurer:  Amy Ball                                  aball@cr-cath.pvt.k12.ia.us

      Overview of responsibilities:  Maintain ledger of Parent Association revenue and expenses.  Works closely with Parish Book Keeper and will write checks, or make check requests to reimburse parents for certain pre-approved expenses.  Keeps the president informed on the association's financial status.  Presents financial status report at the Parent Association Meetings.

  

   Secretary:  Tracy Bowers                          TBowers@cr.k12.ia.us

      Overview of responsibilities:  Responsible for taking minutes at the Parent Association Meetings, and forwarding them to the President for publication to the Board of Education and the Parents- either via email or through the monthly "Jaguar Report".  Is responsible for the gathering information for the school directory in the fall.  If delegated by the PA President, will maintain the PA email account.

Parent Association Committees

All committee chairpersons are required to provide a monthly (or bi-monthly) report to the Parent Association.  This can be done by either attend the Parent Association Meetings themselves, sending a member of their committee to make the report, or sending a report to the Parent Association President (or their agent) to present to parents at the monthly (or bi-monthly) meeting.  Other duties are outlined in the overview sections below.

Bulletin Board

Chair Responsibilities:  Organize volunteers for each month

Committee Overview:  Changes birthdays on the bulleting board calendar in the hallway each month.

Catholic Schools Week

Chairperson:  Diane Flynn                              ddflynn@mchsi.com

Chair Responsibilities:  The chair will meet with the principal early in the year to schedule events.  They will then work with the staff and parent volunteers to make these events happen

Committee Overview:  This group is responsible for planning various events which will take place during the week at school.  (Please note, grandparent’s day is now a separate committee.)

Classroom Helpers

Directory

Chair Responsibilities:  Collect information for the school directory, compile it and get it to the school secretary for distribution.

Committee Overview:  Members of this committee help with data entry.

Friends of Library

Chairperson:  Theresa Scherrman                tscherrman@hotmail.com

Chair Responsibilities:  The committee chair coordinates with media specialist/librarian and parent volunteers.

Committee Overview:  Committee provides volunteers to assist in the day to day needs of the Media Center/Library.  The committee chair coordinates with media specialist/librarian and parent volunteers.

Grandparents Day

Chairperson:               

Chair Responsibilities:  This is a new committee.  The chairperson will work closely with the Principal to determine what their responsibilities will be.

Homeroom Parents

Chairperson:  Molly Rooney                molly.rooney@rsmi.com

Chair Responsibilities:  Will assign parent volunteers with appropriate homerooms, and recruit more volunteers in the event they are needed.  Sends out a letter to homeroom moms from the Mardi Gras committee (they will provide) for baskets.

Committee Overview:  Assist classroom teacher with class trips, parties, coordinating the Mardi Gras basket, and other school events as requested.  Also, assist with contacting parents to schedule them for the "End of the Year Cleanup".   Attendance at the monthly Parent Association meeting is encouraged to ensure clear communication of information.

Koeze Nuts

Chairperson: Kember Nelson                         iajhwk@aol.com

Chair Responsibilities:  Is responsible for working with the Koeze Nut Company to get sales materials, place and receive orders.  Coordinate parent volunteers to assist with order taking and distribution.

Committee Overview:  Assists with annual fundraiser of mixed nuts, cashews, and nut candy in October/ November. Take orders after Masses and help put orders together in Kearn Hall after shipment is received.

Lunch Room Helpers:

Chairperson:  Stephanie Heims                     heimsds@mchsi.com

Chair Responsibilities:  Work with the Food Service Director to make sure the kitchen is well staffed with volunteers.

Committee: Will work shifts in the lunchroom to assist with serving food, crowd control and/or clean-up.

Mardi Gras

Co-Chairpersons: Katie Giorgio and Wendy Williams

Chair Responsibilities:  Will be the go-between for the parish Mardi Gras committee and the school parents.

Committee Overview:  Adult social in conjunction with the Parish. Silent/Live Auctions, buffet, dinner, and dance.  Committee members will be asked to help in various ways, including but not limited to: set up, decorating, clean up, and marketing of the event.

Marketing and Grant Writing

Chairperson:  Open, please contact stmatts2310@gmail.com if you are interested in chairing this committee!

Committee Overview:  Promotion of school activities and ongoing Grant writing. 

Mother Daughter Tea

Co-Chairs:  Lisa Breitbach tsbylisakay@yahoo.com and Kember Nelson iajhwk@aol.com

Chair Responsibilities:  Coordinate a Tea Party and fashion show

Committee Overview:  The Tea Party and fashion show is usually held in May.  Duties will include promotion, set-up and clean-up, purchasing or soliciting donations of items for the drawings, and ordering/serving food.

Playground Maintenance

Chair Responsibilities:  Work with the Parish Facilities Manager and School Principal to make sure our playground is safe.

Committee Overview:  This committee will provide the man-power to spread wood chips, clean up sand (spring), paint and maintain the playground equipment. 

Rebates 

Chairperson:  Becky Adams               angels66@mchsi.com

Chair Responsibilities:  The person who chairs this committee may oversee all projects, or elect to have sub-chairs.  They will mail collected items to the appropriate companies, and make sure the funds get to the Parent Association Treasurer.

Committee Overview:  This committee was formerly three; Box Tops, Swiss Valley and Campbell’s.  They are responsible for publicity, gathering and mailing box tops, milk caps and soup labels.  (Box Tops for Education from General Mills and various other products.  They will mail them to General Mills where the PA will receive $.10 per box top.   Campbell's soup labels give points to order out of their catalog.)

Chair Responsibilities: Orders Scrip Cards as needed, maintains the SCRIP database

Committee Overview: Assist with taking orders, processing orders, picking up SCRIP certificates from local merchants. Scrip is sold after all Masses, and certain days before and after school.

Sock Hop

Chairperson: Bobbi O'Connell                        b.oconnell@mchsi.com

Chair Responsibilities:  Organizes volunteers, and the various events of the dance.

Committee Overview:  Plan food and activities for 50’s style dance with DJ. This is KICKOFF for Catholic Schools Week.  The committee is responsible for set up and clean up, as well as ordering and serving food, and gathering donations (or purchasing items) for door prizes.

Spirit Wear

Chairperson:  Cara Eberle                              eberle4@yahoo.com

Chair Responsibilities:  Coordinates the ordering and distribution of school uniform Tshirts/Sweatshirts, maintains inventory.  Is responsible for summer ordering to prepare for fall registration.  Will work closely with the PA officers and school principal.

Committee Overview: Committee members will assist the chairperson with packaging orders and selling spirit wear at registration.  They will also provide help with the Spirit Shop coming in the fall of 2009.

Teacher/Staff Appreciation

Chair Responsibilities:  Coordinate volunteers for the events below.

Committee Overview:  Committee provides food for the teachers/staff during conferences. Recognizes each teacher/staff member on his/her birthday or ½ birthdays with a special treat. Assist with Catholic Schools Week as needed and other recognition events for staff members as determined by the committee. Additional areas to remember: Principal Appreciation Day, Secretaries Day, and Parish priest’s birthday.  Committee identifies strong qualities in our faculty /staff and submits write-ups for recognition to various community organizations. I.e. KCRG A+ for Education, The Gazette’s Top of the class Award etc. Also, may submit write up to our monthly school newsletter.  This is a great committee for those who can not spend a lot of time in the building during the school day.

Uniform Exchange

Chairperson:  Jennifer Schultschik     mjkc931@aol.com

Chair Responsibilities:  Coordinate volunteers for the events below.  Works with parents needing items between these events.

Committee Overview:  Periodically goes through donated items to make sure they are clean, well maintained and sorted by size and gender.  Items in poor condition will be made into rags for use by Parish Facilities Staff and the Art Program.  Items not meeting dress code standards, including those left in the lost and found at the end of the school year, will be donated to Goodwill or a similar charity.  The committee sorts and displays appropriate clothing for exchange at fall registration and conferences.

Welcoming

Chairperson:  Kendra Richards                      KendraRichards@mchsi.com

Chair Responsibilities: Will match up volunteer families with new families that can "mentor" them.

Committee Overview:  Committee will assist new families as they navigate their first year at St. Matthew School.  This may include Welcome gift preparation and delivery, contacting the family to introduce themselves, and being available to answer questions (things like What is SCRIP? or What is a rainbow day? etc.).

Registration

Chairperson:  Parent Association President

Chair's Responsibilities:  Will work with the school staff to set up tables and gather volunteers for registration in August.
